Department Network Regulations for Users

As of April 1st, 2021

As a user of the department network system, you must understand and follow the department rules described below:

  1. The users of the department network system are strictly requested to recognize the system as public equipment and to use with great care. Use the network system only for the purpose of research and education.
  2. Contact the person in charge of the laboratory (tantou-sha) when connecting a network terminal to the network, updating the terminal, or disconnecting the terminal.
  3. It is prohibited to connect computers that is installed an obsolete OS no longer supported for security updates to the department network.
  4. Antivirus software must be installed on the computers in the chemistry department. It should be constantly updated to keep the latest definition files and checked regularly. Personal computers must be treated in the same way as a university-owned computer. Computers that are not in this state must not be connected to the university network.
  5. For the network safety and security, password(s) should be kept secret.
  6. Do not change your operating system without informing tantou-sha. In case that you use your network devices as a server, you need to obtain permission from kanri-sha.
  7. Do not access crazy sites such as adult and illegal sites which are often polluted by viruses. Note that in the case of a laptop computer you must not access such sites from anywhere.
  8. In case that you use removable media such as USB memory and portable HDD in a network-connected computer and that you transfer data to removable media, virus scan should always be run beforehand and care should always be taken of virus infection.
  9. Special care should be taken of virus infection when you use removable media in a public computer which is network-unconnected. Run virus scan BEFORE you connect removable media. If you connect removable media to a computer in which anti-virus software is not installed, run virus scan by other computer and check if it is infected.
  10. Do not INSTALL or USE file exchange programs such as P2P applications and illegally-copied software.
  11. Avoid disclosure of your (and other's) individual information through the network. No important information should be saved in network-connected computers. Save them into safe place such as external memory media.
  12. Do not download any files which are not related to research and educational purposes. Do not let your browser download files automatically. Your browser should ask you before downloading whether you really want to download the file.
  13. Take care when you open attached files to e-mails to avoid virus infection. If you have any doubt, do not open the files. Dispose or check them using anti-virus software. When you send attached files in your e-mail, you should explicitly write down which files you have attached so that the receivers can open them without any doubt.
  14. "File sharing" is permitted only for very limited group. In the case of Windows, do not share the drive including your system (C: drive in general) with other machines. When you share other drives with other machines, it is better to set "read only access" with passwords. In the case of Mac OS, do not share the system folders with other machines. When you share other folders with other machines, you should set passwords.
  15. It is needless to say that you are prohibited to attack network computers by cracking or delivering viruses. In those cases, you will be subjected to disciplinary action by the University authority.
  16. Comply with any requests from the administrator and the person in charge of the laboratory computers.

If any other damage occurs in violation of the above internal rules, penalties (submission of a written statement, account deprivation, IP address confiscation, etc.) will be imposed. Despite observing the internal rules, if you are damaged by cracking・virus infection, etc., and you cause other damage, you will not be punished, but you will be obliged to cooperate in the restoration of the original condition. For undergraduate students, we will also give lectures on network usage rules, morals, and virus countermeasures during student experiments.

In addition, this Department Network Rules is created by the communication network committee of the Chemistry Department, and when mismatching arises between the rules written in the "Using the network" page [1], which the Information Technology Team [2] has defined, it gives priority to rules written in the "Using the network" page.
